Terms and privacy
Greenroom is in early access. These are the terms you agree to when you create an account, and what happens to your data, written to be read.
Terms of service
1. What Greenroom is
Greenroom ("we", "us") is a voice platform for rehearsing conversations with AI counterparts, replaying real meetings, talking with AI coaches and experts, and building agents of your own. It is operated from Sydney, Australia. By creating an account you accept these terms.
2. Your account
You need to be at least 18 and to give a name, an email address and a password. Keep the password to yourself; what happens under your account is your responsibility. One person per account. If you join a workspace through an invitation, the owner of that workspace can see your sessions in it and can remove you from it.
3. Workspaces and roles
A workspace belongs to its owner. Owners and managers can see every session in the workspace, including the transcripts and write-ups, and can edit, share and delete the workspace's agents. Members see their own sessions. When you share an agent by link, visitors who use it can talk to it without an account, within the daily limit you set, and their conversations appear in your reporting.
4. Acceptable use
Use Greenroom for lawful purposes and for people who have agreed to take part. Do not build agents that impersonate a real person without their consent, that harass, deceive or defraud, or that are designed to produce illegal content. Do not use the service to collect personal information about people who are not aware of it. Do not try to break into, overload or reverse-engineer the service. We may suspend an account that breaks these rules.
5. Your content
Everything you put in (agents, files, transcripts, profiles, company descriptions, recordings of your own voice as text) stays yours. You give us the permission needed to run the service on it: to store it, send it to the model providers, and show it to the people in your workspace who are allowed to see it. We do not sell it and we do not use it to train models. You are responsible for having the right to upload what you upload, including transcripts of meetings with other people.
6. Model providers
Greenroom runs on third-party models. Writing, reasoning and debriefs use Anthropic's Claude; voices and the live speech-to-speech mode use OpenAI. We supply the access to those models and their usage is included in the plan, for ordinary personal use of the service; we may contact you about use that is far outside that.
7. Billing and cancellation
The first seven days are free and need no card. After that the plan is A$12 a month plus GST or local tax where it applies, billed monthly in advance through Stripe, our payment provider; we never see your card number. You can cancel at any time from Settings (Plan and billing, then Manage or cancel); access continues to the end of the paid month and nothing further is charged. There is no lock-in and no cancellation fee. Prices may change with thirty days' notice.
8. Availability and changes
This is an early-access service. We work to keep it available and we take backups, but we do not promise uninterrupted service, and features may change, be added or be withdrawn. We will tell you about material changes by email or in the product.
9. What the AI says
The counterparts, coaches and experts are AI. They are built to be useful and realistic, and they can still be wrong, out of date, or unsuited to your situation. Scores and debriefs are an opinion generated against a rubric, not a professional assessment. Nothing an agent says is legal, medical, financial or professional advice, and an agent built as a double of a person is not that person. Use your own judgement, and seek a qualified professional where it matters.
10. Liability
To the extent the law allows, we are not liable for indirect or consequential loss arising from use of the service, and our total liability to you in any twelve-month period is limited to the amount you paid us in that period. Nothing in these terms excludes rights you have under the Australian Consumer Law that cannot be excluded.
11. Ending the agreement
You can delete your account at any time by contacting us; we remove your personal data within thirty days, except where we are required to keep records. We may close accounts that break these terms. These terms are governed by the laws of New South Wales, Australia.
Privacy policy
What we collect
- Account details: your name, email address and a hashed password.
- What you create: agents, their files and instructions, your profile, your workspace's company description, certification tracks, webhook addresses.
- Sessions: the transcript of each conversation, its write-up (scores, notes, documents), when it started and ended, and which engine was used. Audio is transcribed as the conversation runs and is not stored as sound.
- Technical data: the usual server logs (IP address, browser, time), used for security and to keep the service running, and a session cookie that keeps you signed in.
- Billing: Stripe holds your card and billing details under its own privacy policy. We store only your Stripe customer and subscription identifiers, the plan status and the renewal date.
Where it goes
To run a conversation we send the relevant text (the agent's brief and files, your profile where the agent is allowed to see it, and the conversation so far) to the model providers: Anthropic for writing, reasoning and debriefs, and OpenAI for voices and the live engine. They process it under their own terms and, for API use, do not use it to train their models. We send your data nowhere else. If your workspace sets a webhook, finished sessions are sent to the address the workspace owner chose.
What we never do
- Use your conversations or files to train models.
- Show your profile to shared agents, visitors, or other people.
- Show your company description to a counterpart in a rehearsal.
- Sell or rent your data, or use it for advertising.
Who can see what
Your sessions are visible to you and to the managers and owners of the workspace they happened in. Visitors who use a share link are identified only by the first name they type. Agents you share by link expose their public fields (name, role, brief) and never their private files or your profile.
Keeping and deleting
You can delete any session, agent or file yourself; a manager can delete sessions in their workspace. Deleted items are removed from the database at once and from backups within thirty days. If you ask us to delete your account we remove your personal data within thirty days.
Cookies
One cookie keeps you signed in. Your browser also stores a few preferences (appearance, chosen meeting lengths, your visitor name on share links). There are no advertising or tracking cookies.
Security
Passwords are hashed with scrypt. Traffic to a hosted Greenroom is encrypted in transit. Model keys live on the server and never reach the browser. Access to production data is limited to the people who run the service.
Your rights
You can ask for a copy of your data, ask us to correct it, or ask us to delete it. Contact us and we will respond within thirty days. If you are in the European Union or the United Kingdom, the same rights apply under the GDPR; the lawful basis for processing is the contract with you and our legitimate interest in running and securing the service.
